Settings and data

Settings has five pages: Profile, Practice, Messages and blocked clients, Features and Danger Zone.

“Full name”, picture (drag it inside the circle, “Zoom”), “Bio” that clients see, the box “Email me session reminders (24 hours and 1 hour before)”, then “Update”. Below is “Two-factor sign-in”: mandatory for therapists; “Set up” chooses whether the code comes from an authenticator app or by email.

“Practice Name”, “Language”, “Currency”, “Time zone”; under “Billing details” the “Company name” and “Tax ID (PIB)” if a company pays for the plans. Changing the currency does not convert package prices; changing the zone does not move sessions. “Save Settings”.

Danger Zone → “Export Data” → “Download Excel”. One file with the sheets Clients, Records, Notes, Payments and Messages. Any time you like, and only you; we cannot. There is no audio or video in the export: audio is deleted as soon as the AI summary exists, video is never recorded.

For a holiday, parental leave or a move. Danger Zone → “Pause practice” → confirm. From then on:

  • clients see on every page that the practice is not available right now, with a note to contact you;
  • the application takes you to Settings when you come in, the rest of the navigation is off;
  • nothing is deleted: clients, sessions, records, notes and payments wait.

“Resume practice” in the same place brings everything back. If the subscription expired in the meantime, the application takes you to Features to renew it.

Danger Zone → “Delete practice”. The practice closes to clients at once; after 30 days the records, notes, transcripts and messages are permanently deleted, and receipts are kept for 5 years without names. Until the deadline “Deletion is scheduled” shows the date with an “Undo deletion” button. Export your data first.

When the terms of service, the privacy policy or the data processing agreement change, at your next sign-in you first see the new documents and “Continue”. The same goes for clients, for the documents that concern them. Links to the terms of service and the withdrawal form are at the bottom of the Features page.

The record, notes and messages are private; our team has no access to them, not even technically.
